Each tutoring session is an hour long and may take place on a mutually convenient day and time, either virtually or at an agreed upon location. A session can either be dedicated to homework help, a specific goal or a combination of both.
The client should work in a distraction-free environment that is conducive to their learning. The client should come prepared with all necessary materials (e.g. worksheets, pencils, calculators, etc). We recommend that the client brings their graded and ungraded work to each session. We also recommend that the client provides copies of recent report cards and IEPs, if applicable.
A parent or guardian may be asked to stay present during the session, however, this will be communicated in advance.
Each private session is individualized to reach the unique needs and learning styles of each client. We will work to establish a professional rapport with each client that allows open communication and a happy work environment. The ultimate goal of tutoring is for the client to become academically independent.
We book our tutoring sessions in blocks (Each block contains 4 sessions). Each session is 60 minutes long. Each session should be scheduled with the same duration and frequency each week.
All scheduling changes must be communicated to Richards Tutoring 24 hours in advance.
Payments are automatically renewed and at the end of each block. Auto-renewal means that upon completion of the last session in the month, the next block will automatically renew and be charged to the card on file. Cancellation of this method of payment is required two weeks prior to the last session.
We accept credit and debit cards as forms of payment. Alternatively, we can accept payments via e-transfer, sent to billing@richardstutoring.ca. We do not accept any payments in the form of cash. Payments cannot be made to the tutor during the session. All payments must be made in advance.
The client may cancel a session by giving at least 24 hours prior notice to Richards Tutoring, in which case no fees will be incurred. A session not attended by the client without giving 24 hours prior notice to Richards Tutoring will be charged at the full rate. If the session is cancelled due to illness or unforeseen circumstances, please communicate with Richards Tutoring as soon as possible to arrange a make-up session within 7 days or those missed hours will be lost.
No refunds shall be given in respect of lessons not attended by the client.
The tutor may cancel a session by giving at least 24 hours prior notice. Richards Tutoring will inform the client, in which case no fees shall be incurred. The session will be rescheduled within 7 days at a time agreeable to both parties.
If a client is later than 15 minutes, or does not show up for their session, it is considered a no-show and you will be charged for the complete session. There will not be an option to reschedule this session.
If a client is late, we will wait for 10 minutes and attempt to reach them by telephone. If there is no communication within 15 minutes, the session is considered a no-show and you will be charged for the complete session. Fees are calculated according to the schedule and no adjustment shall be made for time lost because of late arrival by the client. Clients who arrive late will only be tutored for the remainder of the scheduled session. There will be no prolonged sessions.
Lost time due to the late arrival of the Tutor shall be compensated for by extending a session by mutual agreement and by such amount of time that was lost.
It is pertinent that the client attends their sessions regularly and on time. If there are 2 or more cancellations, no-shows or tardies in any 1 block, the client will be charged a convenience fee of $30 for each 1 block occurrence.
All virtual sessions are conducted via Google Meet.
Please be mindful of background noise and ensure to be in a distraction free environment, as much as possible.
In the event of inclement weather, it is up to the discretion of the client and the tutor as to whether or not a session will be cancelled. Richards Tutoring will reschedule the session at a mutually agreed upon time. All clients also have the option of using virtual tutoring instead of cancelling due to weather.
Please be advised that we do not have a refund policy for all services. Refund requests, including, but not limited to, those made by clients who cannot attend or use their sessions, regardless of the client’s reason, and regardless of whether the client provides us with advance notice, will not be honoured. Richards Tutoring will make every effort to reschedule sessions, if applicable. Should you choose to cancel a prepaid block after attending your first session, you will be billed for the remaining amount of the block price. Exceptions may be made only in cases in which a client cannot attend due to serious illness or the death of a loved one.
Termination of services require a two-week notice by either party.
We will do our best to provide you with high quality, impactful services. However, our tutor and Richards Tutoring makes no guarantees or promises with respect to the client’s performance.
Failure to abide by these policies and procedures may result in termination of correspondence with Richards Tutoring. Richards Tutoring will not be held responsible for a breach of these policies and procedures.
This agreement constitutes the entire understanding between the student, the parent/guardian and Richards Tutoring, with respect to the subject matter of this agreement. Any alteration to this agreement must be made in writing and signed by both parties.
